Privacy Policy

This is a translation provided for convenience. If there is any discrepancy, the Japanese version prevails.

1. Introduction

F's Factory ("we", "us") sets out below how we handle information about users of the service "Session Concierge" (the "Service").

2. Information we collect

We collect the following information. If you use the Service without creating an account, we do not collect your name, email address, or similar information.

(1) Information you enter or register

About passwords. Passwords are managed by Google's authentication platform (Firebase Authentication). We never hold or view the passwords themselves.

3. Purposes of use

  1. Providing the Service, verifying identity, and enabling contact between users
  2. Recruiting for sessions, managing participation, and running sessions on the day
  3. Delivering notifications
  4. Compiling and displaying rankings and similar aggregates
  5. Responding to misuse and violations of the terms, and handling reports
  6. Responding to inquiries
  7. Improving the Service and investigating defects
  8. Displaying advertisements (see section 7)

4. Information shown to others

By the nature of the Service, some information is shown to other users.

You can change these settings at any time. Turning off "Make profile public" on the profile screen stops your bio, attendance history, and similar details from being shown to other users.
Attendance at private sessions is never shown to other users, regardless of this setting.

5. Disclosure to third parties

We do not provide personal information to third parties except in the following cases.

  1. Where you have consented
  2. Where required by law
  3. Where it is necessary to protect a person's life, body, or property and it is difficult to obtain consent
  4. Where cooperation with a national agency or similar body is required and obtaining consent would impede the performance of that task

We do not sell personal information.

6. Subcontractors and external services

We use the following external services to provide the Service. With these services, your information may be processed on servers outside Japan.

7. Advertising

  1. The Service may display advertisements served by third parties (such as Google).
  2. These providers may use cookies or advertising identifiers to show advertisements matched to your interests.
  3. You can turn off ad personalization.
    • Web: Google Ad Settings
    • Android: device Settings → "Google" → "Ads"
    • iOS: device Settings → "Privacy" → "Tracking"
  4. No advertisements are shown while you are using premium features.
If you access the Service from the European Economic Area (EEA) or a similar region, a consent screen relating to advertising may be displayed.

8. Retention period

  1. Account information is retained for as long as the account exists.
  2. Records of sessions held and attended may be retained after account deletion in a form that cannot identify an individual, for aggregation such as rankings.
  3. Comments may be retained after deletion as a record that a post was made (the contents are not displayed).
  4. Information we are required by law to retain is kept for the required period.

9. Security measures

  1. Communications are encrypted (HTTPS).
  2. Access to data is restricted by server-side permission rules.
  3. App Check verification is in place to prevent unauthorized access.
  4. Administrator privileges are granted only to the minimum necessary people.

10. Your rights (disclosure, correction, deletion, etc.)

  1. You may request disclosure, correction, suspension of use, or deletion of your information.
  2. You can change your profile information yourself at any time from the profile screen in the app.
  3. If you do not want notifications, you can stop them at any time from the notification settings in the app.
  4. You can change how much of your profile is public at any time using "Make profile public" on the profile screen.

Deleting your account

We provide a dedicated page describing the steps and how data is handled. → About deleting your account

  1. You can delete your account yourself from "Delete account" at the bottom of the "Profile" screen in the app. Please review the confirmation screen before proceeding. If you have difficulty doing so, contact us using section 13 below and we will handle it after verifying your identity.
  2. Deletion cannot be undone. You are signed out automatically, and you can no longer sign in with the email address and password used before deletion.
  3. Deletion removes the following information.
    • Authentication information (email address and password)
    • Display name (the registration is released, so other users may then use the same display name)
    • Profile image
    • Bio, social and YouTube links
    • Push notification destinations (device tokens). You will no longer receive notifications
    • Sessions you host that have not yet taken place (draft, announced, recruiting), including their parts, participants, songs, comments, and join IDs.
      * Sessions with a co-host are not deleted (so the co-host can continue to run them). Sessions that are live, finished, or canceled are also not deleted (deleting them would destroy other participants' records).
  4. The following remains after deletion, because other users need it.
    • Records of sessions attended and hosted (including live, finished, and canceled sessions)
    • The contents of comments you posted (the posts remain. To remove them individually, delete the comments before deleting your account)
    • Records of the slots you occupied on the jam board
    • Aggregated data processed so that individuals cannot be identified
    • Information we are required by law to retain
  5. In the records that remain, your display name is replaced with "Withdrawn" ("退会済" when the app is displayed in Japanese). Your name and email address are never left in place.
  6. The record corresponding to you is kept in a "deleted" state with its contents emptied, in order to preserve the link with attendance records. No information that could identify you remains in that record.
  7. No refund is given for any unused portion if you delete your account while a premium period remains.
If participants are already confirmed for a session you host, please notify them before deleting your account (a warning is also shown on the confirmation screen).

11. Use by minors

Minors should use the Service only with the consent of a parent or guardian.

12. Changes to this policy

We may change this policy as necessary. If we make a material change, we will announce it by posting on the Service or by another appropriate method.
